The real cost of an office move is not the moving invoice. A 30-person company that loses two working days to a badly planned relocation has burned roughly a week and a half of one salary in payroll alone, before counting missed client work. The moving crew is the cheap part; the plan is what you are actually buying.
The good news is that an office move is far more controllable than a house move — offices are inventoried, staff can pack their own crates, and the weekend gives you a 60-hour window when nobody needs the office at all. This is the sequence that uses it properly.
8 weeks out: fix the frame
- Confirm the handover date on the new premises and the exit obligations on the old lease — reinstatement clauses (returning the fit-out to original condition) are routinely missed and routinely expensive.
- Appoint one internal move coordinator with actual authority. Committee-run moves overrun; one named owner with a decision budget does not.
- Book the moving company and walk both sites with them. A commercial mover who does not ask to see the loading bays, lift dimensions and after-hours access at both buildings is not a commercial mover.
- Notify your IT provider or internal team — the network cutover, not the furniture, is the schedule's critical path.
4 weeks out: the two paperwork tracks
Dubai commercial buildings run stricter access control than residential ones, and you are dealing with two of them at once.
- Both buildings: moving NOC, certificate of insurance naming the building, crew ID list, vehicle registrations and reserved service-lift windows. Business Bay, DIFC and Downtown managements enforce all of it.
- Order internet and telecom circuits at the new office now — connectivity lead times are measured in weeks and this is the item that most commonly strands a company in a finished office with no network.
- Update the trade licence address with DED or your free zone, and the Ejari for the new premises.
- Book any fit-out work — data cabling, partitions, branding — to finish at least a week before the move, not during it.
2 weeks out: crates and labels
The numbered-crate system is what separates a Monday-morning office from a Monday-morning warehouse: every employee gets a numbered crate matched to a numbered desk on the new floor plan, packs their own desk contents on the last afternoon, and unpacks in minutes at a desk carrying the same number.
- Distribute crates and the labelling scheme to staff, with a one-page instruction sheet.
- Publish the new-office seating plan — crate numbers only work when the destination is decided.
- Purge before you pack: archives past their retention period, dead equipment, the storeroom nobody has opened since the last move. Moving less is the cheapest optimisation available.
- Confidential files travel in sealed, logged crates with a named chain of custody — worth doing properly for audit and simply for sleep.
- Photograph and asset-tag IT equipment; agree the shutdown and reconnection sequence with IT in writing.

The old office is half the job
- Reinstatement to the lease's required condition — patched walls, removed branding, cabling made good — before the handover inspection.
- Meter readings, final utility bills, and formal handover of access cards and keys, in writing.
- Dispose of or donate what did not make the move; a mover can clear it in the same weekend.
- Redirect the old address: post, deliveries, Google Business Profile, website footer, invoice templates and letterheads.
